Overview

This Privacy Policy explains how Zenith Technology LLC (“Zenith,” “we,” “us” or “our”) collects, uses and protects information in connection with Talentist (the “Service”), our compensation and onboarding platform for employers. By using the Service, you agree to the practices described here.

Our role & yours

When an employer uses Talentist to onboard its workforce, that employer determines what employee information is collected and why. In that context the employer acts as the data controller, and Zenith acts as a service provider (processor) that handles the information on the employer's behalf and under its instructions.

For information about our own customer accounts, website visitors and business operations, Zenith acts as the controller. If you are an employee onboarding through your employer, please also review your employer's own privacy notice.

Information we collect

Account information

When an administrator creates or uses an account, we collect details such as name, work email address, role and authentication data.

Onboarding and compensation information

Employers and the employees they invite may submit information including personal and contact details, employment history, prior experience, qualifications and credentials, compensation-related inputs, and uploaded documents (for example, offer letters, identification or credential records).

Usage and log information

We automatically record technical and activity data such as IP address, browser and device information, access logs, and an audit trail of actions taken in the Service. This supports security, troubleshooting and accountability.

How we use information

• To provide, operate and maintain the Service, including onboarding workflows and compensation calculations;
• To authenticate users and protect accounts;
• To generate audit logs and maintain records of changes;
• To send transactional and service-related communications (see below);
• To provide customer support and respond to requests;
• To detect, prevent and address security incidents, fraud and misuse; and
• To comply with legal obligations.

Email communications

The Service sends transactional emails that are necessary to operate it. These include:

• Onboarding invitations sent to a new employee after an authorized administrator adds that person or imports a roster, containing a secure, expiring link unique to the recipient;
• Sign-in verification codes for account holders, including administrators and employees; and
• Status and service notifications related to onboarding and account activity.

These messages are triggered by actions taken by an employer's authorized users and are sent to people that employer is actively hiring or employing. We do not use the onboarding system to send marketing or promotional campaigns to those recipients. Where we send our own marketing communications to business contacts, we provide a way to opt out.

How we share information

We do not sell personal information. We share information only as needed to run the Service and as described here:

• With the employer whose account the information belongs to;
• With service providers that help us operate the Service (for example, hosting and email delivery providers), under contractual confidentiality and security obligations;
• For legal reasons, when required to comply with law or to protect rights, safety and the integrity of the Service; and
• In a business transfer, such as a merger or acquisition, subject to this Policy.

Data retention

We retain information for as long as needed to provide the Service to the relevant employer, to comply with legal obligations, resolve disputes and enforce agreements. When an employer's account ends, we delete or return employee information in accordance with our agreement with that employer and applicable law.

Security

We use administrative, technical and organizational measures designed to protect information, including role-based access controls, authentication safeguards, encryption of data in transit, activity logging and regular backups. No method of transmission or storage is completely secure, but we work to protect information appropriately to its sensitivity.

Your choices & rights

Depending on your location, you may have rights to access, correct, delete or restrict the use of your personal information, or to object to certain processing. Because much of the information in the Service is controlled by an employer, requests from employees are generally directed to that employer; we will assist our customers in responding. Cookies

We use strictly necessary cookies and similar technologies to keep you signed in, maintain session security and operate core features. We do not use the Service to build advertising profiles.

Children's privacy

The Service is intended for use by employers and their workforce and is not directed to children. We do not knowingly collect personal information from children.

Changes to this Policy

We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice.
